We are required by law to send any candidate our Privacy Policy. We tell them you referred them to a job with a specific company and then include a link to our privacy policy.
All candidates must give consent to being referred for a job. The privacy policy email contains a link for a candidate to notify us that they did not give consent and they wish to withdraw from the process. If you submit a candidate without their consent we will investigate and take it very seriously - referrers that refer candidates without their consent may lose access to the platform.
Screening Process
Hirechain check a candidate’s experience matches the hiring criteria and then submit the candidate to the client. You can make this process easier for us and make it much more likely they will be submitted if you:
Explain in the cover note or comments why you think this candidate is a fit
Directly address each of the hiring criteria. For example if the client wants someone with open source experience please flag it so it is not missed
We pass the hiring criteria answers and your cover note on to clients so please make them to the point and informative.
The #1 way to increase the chance of us passing your candidate on to the client is to maintain a high reputation on the platform. If you make great referrals and screen your candidates it is very likely we will pass your candidate to the client.
Our screening process is improving all of the time and if you have feedback we are happy to listen.
Additional Screening
Sometimes the client will ask us to do additional screening before sending the candidates to them. This is typically for jobs involving smart contracts and will involve a very brief (less than 4 mins) 1 way video interview. We send the candidate a link and they can complete this in their own time.
Candidate Communication
All candidate communication happens directly between the client and the candidate. We ask the client to keep us in the loop so that we can keep the application status up to date.
The client may ask us to introduce them to the candidate via email. We will do this from our admin@hirechain.io email and then leave the candidate and client to communicate directly.
Referral Statuses

Referrer Review
Applications appear in 'Referrer Review' when a candidate applies via one of your shareable referral links. Referrers must reject or refer these applications before they are progressed to Hirechain Review.
Applications in 'Referrer Review' expire after 7 days. Please make sure you review them in a timely manner.
Hirechain Review
When you refer a candidate on our dashboard and we review them as soon as possible. If we are waiting on something from the client they might sit here a bit longer than expected but we will get to them. We review every candidate regardless of your personal credits / referrer reputation.
Shortlisted
If a client is on vacation or we are waiting on additional information we might put candidates in this status as a temporary hold. Normally it means we think they could be a good fit but we are waiting on something.
Client Review
This means we sent your candidate to the client and we are waiting on the outcome.
Interview
The client has confirmed they want to interview your candidate! We sometimes send an email intro or the client may reach out directly. Please check in with your candidate and make sure they have done some preparation before the interview.
At the moment we do not have different stages for clients with multiple interviews. We may update the notes if the client tells us as the candidate progresses.
Offer Extended
Your candidate has received an offer.
Hired
They took the job! We will put the agreed start date in the notes. Its a good idea to follow up with your candidate to congratulate them and check if they have any additional questions.
Hirechain Pass
Hirechain has chosen to pass on this referral. This could be because there are stronger candidates coming through. This does not negatively impact your remaining referrals or reputation.
Hirechain Rejected
The candidate did not pass our screening. Please pay attention to the hiring criteria and write a good cover note.
Client Rejected
The client reviewed the candidate and the notes and does not wish to proceed. We will add feedback when we have it.
Candidate Rejected
The candidate requested to be removed from the process either directly or via the referrer.
To Withdraw
The candidate clicked the link in our privacy policy email to let us know they were not expecting to be referrered to a job. We will remove them from the process with the client (if already sent).
Withdrawn
The candidate has been withdrawn from all processes.
